The Assistant Admin Manager is responsible for overseeing various administrative functions within the organization. This position plays a vital role in ensuring the smooth and efficient operations of the bank’s administrative department. The Assistant Admin Manager will report directly to the Admin Manager and collaborate closely with other departments to support their administrative needs.
Responsibilities
Manage the procurement process for various items required by the organization.
Collaborate with vendors, negotiate contracts, and ensure timely delivery of goods and services.
Maintain inventory levels and track procurement expenses.
Oversee the maintenance and repair of office facilities and equipment.
Coordinate with external service providers for routine maintenance and promptly resolve any facility-related issues.
Ensure compliance with safety and security standards.
Manage the relationship with outsourced service providers, such as cleaning services.
Monitor the quality of services and ensure standards are met.
Address any concerns or issues related to outsourced services and take appropriate action to resolve them.
Provide comprehensive administrative support to various departments.
Maintain a well-organized filing system for easy retrieval of documents.
Assist in budget preparation for administrative expenses.
Monitor and control costs related to procurement, facility maintenance, and other administrative activities.
Identify opportunities for cost savings and propose effective strategies to optimize expenses.
Qualifications
Bachelor’s degree in any field.
Proven experience in administrative roles, preferably in a corporate environment.
Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
Excellent communication and interpersonal skills for building relationships with internal stakeholders and external vendors.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Knowledge of procurement processes and contract negotiation.
